Submit Your Application In-Person

Note: Effective 31 July 2018, you may need to give your fingerprints and photos (biometrics) at a Visa Application Centre when you apply for a visitor visa, study or work permit, or permanent residence if you are a national of a country or territory in Europe, the Middle East or Africa, or if you are a national of a country that is already biometrics required. Temporary resident visa, study and work permit applicants only need to give biometrics once every 10 years;

  • However, permanent residence applicants will need to give biometrics with each application.
  • If you have applied for a temporary resident visa, study or work permit in the past and are unsure if the biometrics have been provided, Please refer to the IRCC website (Canada.gc.ca/biometrics), and “Find out if your biometrics are still valid

  • For the purposes of biometric collection, nationality is based on the nationality you have declared in question number 6 (*Citizenship) on the IRCC application form.
  • Applicants who have submitted an application online to IRCC must present a Biometric Instruction Letter to enrol their biometrics. To find out more about biometrics visit the IRCC website
  • Applicants applying in person at a VAC do not need to present a Biometric Instruction Letter.

    • Nationals from Europe, Africa and the Middle East and those who are already biometrics required from Asia and the Americas only need to provide biometrics once every 10 years for temporary resident visa, study or work permit applications. However these permanent resident applicants will need to give biometrics regardless of whether they gave biometrics in the past.

Step 1 :

Read complete information on the visa/permit requirements on the IRCC website and download the appropriate application forms and checklist relevant to the purpose of your visit. checklist-for-mail-in-applications - VFS

Step 2 :

If you are unable to provide all the supporting documents as mentioned in the official IRCC document checklist, you are required to fill out and sign the waiver form and attach it with your application form.

Failure to provide a completed and signed waiver form may result in additional delays or refusal of your application for a visa, permit or travel document

Step 3 :

Fill out the application form and other relevant documents electronically, print and sign the Barcode Page and Family Information Form (applicable for Temporary Resident Visa, Study Permit and Work Permit).

Forms (including the barcoded sheets) are to be printed on a white, bond quality, non-glossy paper, using a laser printer.

Step 4 :

Read the privacy policy, fill out the CVAC VFS consent form and attach it with your application form.

IMPORTANT: If a completed and signed CVAC VFS consent form is not included with the application, we will NOT be able to assist you, and your application will be returned to you.

Step 5 :

Consult visa fees list and biometric fee, if required, on the Canadian Visa Office website.

Please note that when submitting application via the CVAC, in person or by mail, visa fees must be paid in addition to CVAC (VFS Global) service charge.

Step 6 :

CVAC service charge and charge for any optional services must be paid when the application is submitted at the Canada Visa Application Centre in Vienna. You will need to validate, print and sign your visa application form out and apply in person at the CVAC in Vienna. Please note that at the time of submission you need to have all the documents and application fees specified for requested type of visa/permit. You can also apply by post. In this case your complete visa/permit application, supporting documents and fees need be sent to the CVAC, Vienna. Applicants also have the option of applying directly to the Embassy by using IRCC’s online application (E-Apps) system.

Step 7 :

Visit your local Canada Visa Application Centre (CVAC) in Vienna; make sure you bring your passport, photographs, completed forms and all supporting documents as per checklist and have sufficient funds to pay the Visa fee & VFS Services charges. Please ensure you bring an accepted method of payment.

Important Note: If you need to give your biometrics, the CVAC will collect your biometrics at the same time you submit your application. DO NOT submit your application by mail to this CVAC.

Step 8 :

Once you are at the CVAC, pay the Visa fee & VFS service charges, hand your complete application and obtain an Invoice cum receipt (ICR). This receipt contains a unique tracking number which you will need to track the progress of your application online.

Important Note: If you need to provide biometrics, your 85 $ biometric fee covers the CVAC service charge for application handling.

Step 9 :

Applicants are strongly recommended to opt for SMS tracking service at a nominal extra charge of EUR1.30 including VAT for receiving SMS to their mobile phone.

Step 10:

Applicants can either collect their passports personally when they are ready from the Visa Application Center in Vienna or opt for a courier service at an extra charge. (Please see service charge schedule)

Mail Your Application

Temporary Resident Visa / Permits and Travel Documents –Applicants from Austria)

Important Note: If you need to give your biometrics, DO NOT submit your application by mail to this CVAC. You must submit your application in person. The CVAC will collect your biometrics at the same time you submit your application.

Step 1 :

Step 6 :

Pay required CVAC Service Charge, and any fees for additional CVAC services, as per the Service Charge Schedule provided on the CVAC Website.

IMPORTANT: If your application is received without the correct payment for CVAC service charges, we will NOT be able to assist you and your application will be returned to you.

Please include Bank deposit slip for the correct amount in favour of “VF Services Limited Austrian Branch

Step 7 :

Arrange forms and documents according to the checklist.

Step 8 :

Decide how you want your documents to be returned to you.

Document collection or delivery after processing of your application by the Canadian Visa Office:

  1. If you have opted for collection of your documents in person or through an authorised representative, you will receive an email notification advising you to collect your documents from the CVAC.
  2. If you have opted for return of documents through courier, the CVAC shall courier the documents upon receipt from the Canadian Visa Office.

Step 9 :

Mail in or courier your completed and signed application forms and checklists, consent form along with your passport, photographs, Bank deposit slip (Including Visa fee & VFS Service charges) in a sealed envelope to

Canada Visa Application Centre in Vienna,

Please note that cheques cannot be accepted.

Step 10 :

Track your delivery with the postal or courier company used to submit your application(s) to the CVAC.

Step 11 :

You will receive an email notification containing your application tracking ID from the CVAC within 2 working days of receipt of your application.

Applicants are strongly recommended to opt for SMS tracking service at a nominal extra charge of EUR 1.40 including VAT for receiving SMS to their mobile phone.

Step 12 :

Please check the “Processing time” section of the IRCC website. Processing times for postal applications take longer due to the period that they are in transit to and from the Canada Visa Application Centre.

Step 13 :

It is the Applicant’s responsibility to check the details of the visa issued to ensure that it is valid for the date of proposed entry to Canada, the number of entries required, and for the for the purpose of the trip. This should be done immediately after collection of your passport. Please note that the validity period and number of entries is determined solely by the visa office and may differ from what was requested in your application.

Step 14 :

Incomplete applications or applications with insufficient funds will not be processed and shall be returned. All the applicants are requested to remove their passport covers/ leather pouches before sending their passports along with their visa applications. VFS will not be responsible for lost/misplaced passport covers.

Step 15 :

Once the application is processed and the message on the Tracking system says that the passport is ready to be collected, it is applicant’s responsibility to arrange the collection of the passport from Canada Visa Application Centre or avail of our courier service at a nominal extra charge. (Please see service charge schedule).

Submit Your Passport

If you have received notification from the Government of Canada requesting your passport, your passport along with the request letter and VFS consent form may be submitted through this Canada Visa Application Centre.

Please note that there will be a Service Charge for the above services. Courier charges, where applicable, are separate from the Service Charge applicable for Passport Transmission Services. The details can be obtained here.

“With your passport(s), make sure you include:

  • The passport request letter you received from IRCC
  • Any applicable visa application centre (VAC) fees, such as passport transmission fees, courier fees etc.
  • Your contact information, including your email, phone number and return address
  • The VAC consent forms

How to submit your passport:

Once you receive notification from the Government of Canada requesting your passport, you can submit the passport and that request letter:

  • In person/ through an authorised representative at the CVAC or ,
  • By courier/mail to the CVAC address mentioned on the ”Contact Us” page.

To retrieve your passport, you have the choice of;

  1. Picking up the passport in person or through an authorised representative at the CVAC or;
  2. Requesting return of passport by courier

The Passport Transmission Services offered by the CVACs will enable you to;

  1. Get your passport delivered to the CVO (Canadian Visa Office) in a timely and safe manner.
  2. Track the status of your passport by using the Tracking tool on the CVAC website.
