Submit Your Application In-Person

Important Notices:

  • Click here to download the mandatory consent form. You must bring 2 original copies of the completed and signed consent form

    • Important: If a completed and signed TT Services Consent Form is not included with your application or passport submission, we will NOT be able to assist you and your application will be pending until the TT Services Consent Form is completed and submitted. We will attempt to contact you three times over ten business days to obtain the TT Services Consent Form, however if it is not received after these attempts your submission will be returned to you.

  • Effective 03 November 2018, prior appointment is mandatory for Biometric Enrolment at all the Canada Visa Application Centres (CVAC) in United States. Depending on your nationality, you may already need to give biometrics.

    • Since 31 July 2018 – applicants from Europe, Middle East and Africa

    • Starting 31 December 2018 – applicants from Asia, Asia Pacific and the Americas

  • Please note: appointments are mandatory in order to enroll biometrics at the Visa Application Centre.

    • Emergency Appointments: Applicants requesting emergency appointments for the purpose of biometric collection may do so provided suitable proof of the emergency is presented at the time of the appointment. Suitable proof may include a note or other documentation from an official. This proof only needs to be presented and will not be collected by the VAC, and that this will provide an emergency biometric appointment but not affect IRCC’s processing time for the application. For any further information or questions, the Contact Centre is able to assist with any inquiries.

    • For the sole purpose of scheduling an appointment TT Services will collect Personal Information from you. Two copies of the consent form is required for each applicant.
    • It is advised that you keep your hands henna-free at the time of your Biometric Appointment to ensure unimpeded biometric enrollment. Non-compliant applicants will be asked to visit the Visa Application Centre with a fresh appointment after 30 calendar days. Kindly adhere to this requirement to avoid delays and multiple visits to the centre.
  • Temporary resident visa, study and work permit applicants only need to submit biometrics once every 10 years

    • However, permanent residence applicants will need to give biometrics with each application.
    • If you have applied for a temporary resident visa, study or work permit in the past and are unsure if the biometrics have been provided, please refer to the IRCC website (Canada.gc.ca/biometrics), and “Find out if your biometrics are still valid

    • For the purposes of biometric collection, nationality is based on the nationality you have declared in question number 6 (*Citizenship) on the IRCC application form.

Two ways of submitting visa application to Canada

Paper Application

Step 1 :

  1. Read complete information on visa/permit requirements on IRCC website

  2. download the appropriate application forms and checklist relevant to the purpose of your visit.

  3. Please refer to the “Prepare Your Application” page to obtain details on visas/permits.

    IMPORTANT NOTE: The VAC in Los Angeles no longer accepts Study Permit or Work Permit applications. Please submit your Study Permit and Work Permit applications by mail or in person to the VAC in New York.

Step 2 :

  1. Fill out the application form electronically. Completed Forms (including the barcoded sheets) are to be printed on a white, bond quality, non-glossy paper, using a laser printer.

    1. Ensure that the 2D barcode is printed clearly and on high quality paper. Downloaded and hand-written forms will not be accepted.
  2. Complete 2 copies of a Visa Application Centre consent form for Assisted Service – Paper Application.

  3. If you are unable to complete a paper application and require assistance to do so:

    1. you can avail TT Service’s chargeable Assisted Service – Paper Application, at the Visa Application Centre. Service is available for both biometric and non-biometric applicants.

      1. Using the centre’s self-service workstation, the staff will provide assistance in filling out the paper application form by transcribing your responses and entering the data accordingly. Applicants are requested to check the accuracy of the transcribed data before signing the application form. Please visit the Additional Service page for more information.
    2. If you prefer to fill out the form at the Visa Application Centre, our self-service workstation is available at an hourly charge. Please visit the Additional Service page for more information.

Step 3 :

  1. Complete supporting documents as per the IRCC document checklist relevant to the visa category.

    1. If you are unable to provide all the supporting documents as mentioned in the official IRCC document checklist, you are required to fill out and sign a waiver form and attach it with your application. Please note, failure to provide the requested documents as stated in the IRCC document checklist may result in additional delays or refusal of your application for a visa, permit or travel document.
  2. Read the Privacy Policy, fill out the TT Services Consent Form and attach it with your application. Important: If 2 completed and signed copies of the consent form are not included with the application, your application will be deemed as incomplete and could incur delays.
  3. Pay the Government of Canada Fee and biometric fee (if required) as per instructions on the IRCC website Pay your fees

Step 4 :

  1. If you are NOT REQUIRED to submit biometrics, visit your local Canada Visa Application Centre along with your passport, photographs, completed forms, the Government of Canada Fee receipt, and all the supporting documents prelisted in the IRCC document checklist.

    1. You will submit all required documents at the centre. This is on walk-in basis only, and the centre sees customers on first-come-first-service basis

      1. Applicable Visa Application Centre service charges for package transmission and Assisted Service – Paper Application will be charged to you at the time of the application submission.
    2. You can also opt to mail in your application to the Visa Application Centre

      2. If you opt to mail in your application, make payment via Money Order to “VFS Services (USA) Inc.”
  2. If you are REQUIRED to submit biometrics, prior appointment is mandatory for biometric enrolment.

    1. Important Note: If you need to give your biometrics, the biometric fee of CAD85 covers the Canada Visa Application Centre service charge for Package Transmission. Charges for additional services are not included.

Step 5 : for Biometric enrollment only

  1. On your appointment date, arrive at the Visa Application Centre with the appointment letter 15 minutes prior to the scheduled time.
  2. Bring your completed and printed application forms, supporting documents, Government of Canada fee payment receipt, original passport and two copies of the passport bio data page.
  3. At your appointment, you wll be provided with a receipt containing your unique tracking number which you will need to track the progress of your application online.
  4. Important Note: If you need to provide biometrics, your CAD85 biometric fee covers the Canada Visa Application Centre service charge for application handling.

E-Application

Step 1:

  1. Complete instructions on how to submit a visa application via E-Application can be found on the IRCC website “Apply Online”.
  2. Applicants who are REQUIRED to submit biometrics after successfully submitting an E-Application will receive a notification in a form of a Biometric Instruction Letter (BIL). Upon receipt of the BIL, you will be required to visit the Visa Application Centre to submit biometrics.

  3. If you are NOT REQUIRED to submit biometrics, wait for a decision of your application and check your MyCIC account for further instructions.

Step 2: for Biometric Enrollment Only

  1. On Receipt of a BIL, schedule an appointment via http://vfsglobal.ca/canada/usa/schedule-an-appointment.html
  2. Once an appointment is scheduled, an appointment letter will be generated along with a reference number. The appointment letter will provide details of the date, time and location of the appointment, along with other relevant information regarding security at the centre, additional services, etc.

Step 3: for Biometric Enrollment Only

  1. On the date of your appointment, arrive at the centre 15 minutes prior to your appointed time.
  2. Bring your original passport, appointment letter, and Biometric Instruction Letter.
  3. Upon completion of biometric enrolment, you will be provided a receipt confirming the same.

Step 4: for Biometric Enrollment Only

  1. Once a decision has been taken on your visa application, you will be notified via email to submit your passport through a Passport Request Letter. If you are unsure of emails from IRCC getting delivered to you, please check your my CIC account periodically for updates.
  2. Upon receipt of the Passport Request Letter, please submit your original passport, along with the Passport Request Letter, at the Visa Application Centre.

Mail Your Application

Step 2 :

  1. Fill out the application form electronically. Completed forms (including the barcoded sheets) are to be printed on a white non-glossy quality bond paper using a laser jet printer. Ensure that 2D barcode is clearly printed and on high quality paper. Downloaded and hand-written forms will not be accepted.

  2. Prepare supporting documents as per the IRCC document checklist relevant to your visa category.

    1. If you are unable to provide all the supporting documents as mentioned in the official IRCC document checklist, you are required to fill out and sign a waiver form and attach it with your application. Failure to provide the requested documents may result in additional delays or refusal of your application for a visa, permit or travel document

    2. It is recommended that you provide supporting documents as listed on the official IRCC document checklist. Failure to do so may result in additional delays or refusal of your Visa, Permit, or Travel Document application.

Step 3 :

  1. Read the Privacy Policy, fill out 2 copies of the TT Services Consent Form and include it with your application form.

    1. Important: If 2 completed and signed consent form copies are not included with the application, your application will be marked as pending until the TT Services Consent Form is sent to the Visa Application Centre

Step 4 :

  1. Pay the Government of Canada and biometric fees (if required) as instructed on the IRCC website Pay your fees

  2. Prepare payment for TT Visa Services service charges

    1. Method of Payment Required: Money Order (We do not accept personal or company checks)
    2. Make Money Order Out to: “VFS Services (USA) Inc.”
    3. Fees required for applicants who are not enrolling biometrics;
      1. Fee Required for Package Transmission: USD$19.90
      2. Fee Required for Assisted Service-Paper Applications: USD$30.80
      3. *Payment amount must be the exact service charge fee for your application
    4. Fees required for applicants who are enrolling biometrics:
      1. The biometric fee of CAD85 covers the service charge for Package Transmission. Service charges for additional services are not covered.
  3. Important: If your application is received without the correct payment for Canada Visa Application Centre service charges, your application will be held pending until the service charges are received at the Visa Application Centre

Step 5 :

  1. Prepare a pre-paid return shipping label for the courier of your choice for your application to be returned home to you after processing. Your passport will then be delivered to your preferred address

    1. Be sure your return shipping label or postage covers the weight of the package to avoid any delays
    2. *NOTE: The Visa Application Centres in New York and Los Angeles no longer accept shipping labels from Fedex. You are free to provide a shipping label envelope from any other courier company of your choice.

Step 6 :

  1. Arrange forms and documents according to the IRCC checklist.

  2. Complete and sign the Canada Visa Application Centre Mail-in Application Checklist, Ensure you include it along with the application(s).

  3. Ensure your application package includes the following:

    1. Completed applicable forms as per IRCC checklist
    2. TT Services Consent Form (2 copies)
    3. Supporting Documents and a copy of the passport bio data page
    4. Proof of payment for Government of Canada Fee and biometric fee (if applicable)
    5. TT Visa Services Fee(s): Refer to Step 4 for payment details
    6. A Pre-Paid return shipping label (Be sure your return shipping label or postage covers the weight of the package to avoid any delays). Please note we do not accept Fedex
    7. Your Phone Number, Email ID, and Mailing Address

Step 7 :

  1. Mail your documents and passport in a sealed envelope to one of the following Visa Application Centres. Track your delivery with the postal or courier company used to mail your application(s)

Step 8 : What to Expect Next

    1. Click here to Schedule an Appointment (Appointments for biometrics are mandatory)
    2. Biometrics Appointment Letter should be brought with you on the day and time of your appointment
  1. If your application is missing any items listed in Step 6, the application will be deemed as Incomplete.

    1. You will receive an email notification listing the missing items and you will need to submit these within 10 working days.
    2. If you fail to complete the application within 10 days, the application package will be returned to you
    3. If the deficiency pertains to an incorrect application form or details therein, you will have the option to send a correct and completed application form
    4. If the deficiency pertains to Government of Canada fee payment or biometrics fee (if applicable) you have the option to mail-in the correct Government of Canada fee and biometrics fee confirmation receipt generated from the IRCC payment portal to the Visa Application Centre
    5. If the deficiency pertains to Canada Visa Application Centre service charges and additional service charges, you will have the option to mail-in the correct fee payment in the form of a Money order. See Step 4 for details on payment
  2. If your application is complete, you will receive an email notification informing once the Visa Application Centre has dispatched your package using your shipping label provided. You can then begin tracking the status of your application on the courier website.

SUBMIT PASSPORT AND OTHER DOCUMENTS

Package Transmission Process

If you have received a notification from the Government of Canada requesting for your passport, you have either:

    1. Applied online as E-app or;
    2. You are a Permanent Resident applicant whose application has been finalized and now requires the passport to be submitted
    3. Your additional documents and/or passport, along with the request letter issued by the IRCC Office may be submitted through the Canada Visa Application Centre of your choice.
  • You go to the same Canada Visa Application Centre where you initially submitted your biometrics AND have not previously submitted additional documents and/or passport to support your current application through that Canada Visa Application Centre.

Information about the “Package Transmission” service charge is here. Please note that the TTS Consent Form must always be provided when using VAC services.

Important Note: If you mail-in your additional documents and/or passport at the Canada Visa Application Centre without the applicable “Package Transmission” service charge (see above) and/or the VFS Consent Form, this will be considered an incomplete mail-in package. You will need to submit the missing Package Transmission service charge within 10 working days. Failure to receive the Package Transmission service charges within 10 working days will result in the package being returned to you.

Option 1: In Person

Step 1:

  1. Determine if you would like to submit your passport in person at a Visa Application Centre, or via mail

  2. If you would like to submit your passport in person at a Visa Application Centre:

    1. Bring your original passport, passport request letter, and 2 copies of the TT Services Consent Form to the Visa Applicatication Centre.

    2. You will be requested to pay the package transmission fee of $19.90

Step 2 :

  1. If you would like to submit your passport through an authorized representative at the Visa Application Centre

    1. The authorized representative should submit your original passport, passport request letter and 2 copies of the TT Services Consent Form Application Centre
    2. Important: If a completed and signed TT Services Consent Form is not included with your application or passport submission, we will NOT be able to assist you and your application will be pending until the TT Services Consent Form is completed and submitted. We will attempt to contact you three times over ten business days to obtain the TT Services Consent Form, however if it is not received after these attempts your submission will be returned to you.
    3. Your representative will be requested to pay the package transmission fee of $19.90
  2. Upon return of the passport from the Canada Visa Office to the Visa Application Centre, applicant may either opt for one of the following options:

    1. Collect the passport in person at the Canada Visa Application Centre. Bring the following documents with you for collection:

      1. Valid, government issued, Photo ID
      2. the receipt issued at the Canada Visa Application Centre
      3. Copy of the TT Services Consent Form
    2. Authorize someone on your behalf to collect the passport. To do so, the authorized person should have with them:

      1. The completed and signed TT Services Consent Form
      2. Valid, government issued, photo ID
      3. the receipt issued at the Canada Visa Application Centre
    3. Have your passport delivered to your preferred address. Provide a pre-paid return shipping label at the time of submission. Your passport will then be delivered to your preferred address.
      *Please note the Visa Application Centres in New York and Los Angeles no longer accept shipping labels from Fedex. You are free to provide a shipping label envelope from any other courier company of your choice.

Option 2: By Mail

  1. Prepare your passport, passport request letter, and 2 copies of the TT Services Consent Form to the Visa Application Centre.

    1. Important: If a completed and signed TT Services Consent Form is not included with your application or passport submission, we will NOT be able to assist you and your application will be pending until the TT Services Consent Form is completed and submitted. We will attempt to contact you three times over ten business days to obtain the TT Services Consent Form, however if it is not received after these attempts your submission will be returned to you.
  2. Prepare payment for TT Visa Services service charges

    1. Method of Payment Required: Money Order (We do not accept personal or company checks)
    2. Make Money Order Out to: “VFS Services (USA) Inc..”
    3. Fees required for applicants who are not enrolling biometrics;
      1. Fee Required for Package Transmission: USD$19.90
      2. Fee Required for Assisted Service-Paper Applications: USD$30.80

Important Notices:

  • If you are a Permanent Resident applicant whose application has been finalized and you have been instructed to submit your passport, a photograph (click here for photograph specification as required by IRCC), and a completed Appendix, review the instructions sent to you for complete information and guidance.

    • Submitting your passport at the Visa Application Centre entails a service charge of package transmission fee.
  • Upon completion of the passport submission process you will be provided a receipt indicating the total amount paid based on additional services availed at the Visa Application Centre. The receipt will also contain application reference number and tracking number which can be used to track the application online

    • In the case of Mail-in passports, receipt will be provided in the return decision envelope.
  • Important: If a completed and signed TT Services Consent Form is not included with your application or passport submission, we will NOT be able to assist you and your application will be pending until the TT Services Consent Form is completed and submitted.
