Submit Your Application In-Person

Important: If a completed and signed TT Services Consent Form is not included with your application or passport submission, we will NOT be able to assist you and your application will be pending until the TT Services Consent Form is completed and submitted. We will attempt to contact you three times over ten business days to obtain the TT Services Consent Form, however if it is not received after these attempts your submission will be returned to you.

Effective 03 November 2018, prior appointment is mandatory for Biometric Enrolment at all the Canada Visa Application Centres (CVAC) in Colombia. Depending on your nationality, you may already need to give biometrics.

Please note that appointments are mandatory in order to enroll biometrics at the Visa Application Centre. A planned visit with a preferred time slot at the Visa Application Centre guarantees prompt service thus eliminating longer waiting time resulting in inconvenience.

Applicants requesting emergency appointments for the purpose of biometric collection may do so provided suitable proof of the emergency is presented at the time of the appointment. Suitable proof may include a note or other documentation from an official. Please note that this proof only needs to be presented and will not be collected by the VAC, and that this will provide an emergency biometric appointment but not affect IRCC’s processing time for the application. Please note, for the sole purpose of scheduling an appointment, TT Services will collect Personal Information from you. A consent form to this regard will be required.

Temporary resident visa, study and work permit applicants only need to submit biometrics once every 10 years;

  • However, permanent residence applicants will need to submit biometrics with each application.
  • If you have applied for a temporary resident visa, study or work permit in the past and are unsure if or when biometrics have been provided, please refer to the IRCC website (Canada.gc.ca/biometrics ), and “Find out if your biometrics are still valid” 
  • Refer to the IRCC website for a list of countries that require visas for temporary residents: https://www.canada.ca/en/immigration-refugees-citizenship/services/visit-canada/entry-requirements-country.html 
  • For the purposes of biometric collection, nationality is based on the nationality you have declared in question number 6 (*Citizenship) on the IRCC application form.
  • It is advised that you keep your hands henna-free at the time of your Biometric Appointment to ensure unimpeded biometric enrollment. Non-compliant applicants will be asked to visit the Visa Application Centre with a fresh appointment after 30 calendar days. Kindly adhere to this requirement to avoid delays and multiple visits to the Centre.

Two ways of submitting visa application to Canada

Paper Application

Step 1:

  • Before visiting our visa centres, please note that you must bring an identity document (different from the ID card) for the entry, and only a plastic bag containing your application file will be authorized to enter. The entrance of electronic devices is not allowed,

    For security reasons, we do not authorize third parties, such as friends, family or professional contacts to accompany visa applicants. There is no space in the premises of the CRSVC to store the objects that are not allowed. For more information check in our security regulations

    Read complete information on the visa/permit requirements on the IRCC website   and download the appropriate application forms and checklist relevant to the purpose of your visit.

  • Please, keep in mind the processing timing for the visa process  in Colombia prior to submit your visa and plan your trip.

    Please, refer to the local instructions from Visa Office for Colombia:

    Attach the documents accordingly to your visa instructions without stapling hooks. If you attach original documents you must add copies of the same, if you require your documents back after the process, please let the CRSV know.

  • Temporary Resident Visa  (available in English and Spanish )
  • Study Permit (available in English and Spanish
  • Work Permit (available in English and Spanish )
  • Travel Document for Permanent Residents (available in English and French)
  • Please, complete the Family Information Form IMM5707E for all the submission processes at the Visa Centre, for all applicants including minors.
  • In case of minor traveling alone must add permission to leave the country notarized and signed by both parents.
  • Common law couples must attach the Statutory Declaration of Common Law  filled, signed and notarized.

As of 4 September 2013, Colombian citizens between the ages of 14 and 79 must give their biometrics (fingerprints and photograph) when applying for a visitor visa, study permit or work permit. This new requirement affects citizens of 29 countries and 1 territory. Find out if you need to give your biometrics  

Step 2:

Fill out the application form  (including barcodes) and other relevant documents electronically and print. For best results

Print on white, bond-quality, non-glossy paper

Use of a laser printer is recommended

Important Note: Please inspect your printed form to confirm that barcodes appear on the last page (page 6 of 6) and that the serial number is the same in all the pages. Insert the barcode sheet on the top of the all forms. The barcodes should appear clear and be free of any distortions smudges or fading otherwise it may slow down the application process. Please note, that each time you make modifications in the form you must validate and print it again.

If you are unable to provide all the supporting documents as mentioned in the official IRCC document checklist, you are required to fill out and sign the waiver form and attach it with your application form.

Failure to provide a completed and signed waiver form may result in additional delays or refusal of your application for a visa, permit or travel document.

Step 3:

Read the privacy policy, fill out the TT Services Consent Form and attach it with your application form.

Important: If a completed and signed TT Services consent form is not included with the application, we will not be able to assist you, and your application will be returned to you.

Step 4:

Determine your Visa Fee

Check the IRCC Fee list   to know what type of fees and the amount your must pay

Methods of payment:

  • Directly at IRCC with online payment
  • Bank payment at Banco de Occidente to account number 260-00582-2 under VFS Colombia S.A.S. for deposit (Please provide original bank payment when you submit your application at the Visa Application Centre). (Bank account only for Visa and Biometric payment).
  • Debit card payment at the Canada Visa Application Centre.

Note: There is a fee of 11,350 COP per applicant per collection Visa and Biometric at Visa Application Centre or Bank (Banco de Occidente).

Fee per applicant per collection for Visa and Biometric at Visa Application Centre or Bank should be done at Banco de Occidente to account number 260-00076-5 under VFS Colombia S.AS.

Step 5:

Visit your local Canada Visa Application Centre (CVAC), make sure you bring your passport, photographs, completed forms and all supporting documents as per checklist and IRCC fee and payment instructions. Applicable service charges will be levied.

Important Note: If you need to give your biometrics , the Canada Visa Application Centre will collect your biometrics at the same time you submit your application. DO NOT submit your application by mail to this Canada Visa Application Centre.

Step 6:

Once you are at Canada Visa Application Centre, pay the service charges , hand your complete application and obtain a receipt. This receipt contains a unique tracking number which you will need to track the progress of your application online.

Important Note: If you need to provide biometrics, your $85 CAD biometric fee covers the Canada Visa Application Centre service charge for application handling.

Step 7:

Track the status of your application on our website. Please, keep in mind the processing timing for the visa process  in Colombia.

In case you are requested to bring additional documentation, the Visa Office may communicate with you via tracking status and/ or e-mail.

Step 8:

Pick up the passport from the Visa Centre once you are notified with the status. Please keep in mind our passport collection hours .

If you opted for our courier service, please be advised your response would arrive in around 2 working days, depending on your destination city, after the change of status from your passport.

Who can pick-up package(s)?

If you decide to pick up the passport from the Canada Visa Application Centre. You must bring the following documents

  • Original Canada Visa Application Centre confirmation receipt
  • Two (2) pieces of original government issued identification (one of which must be a photo identification bearing the client’s signature)
  • You will also need to sign the pick-up form before you are given your package(s);

If you decide to send your representative to pick up your passport from the Canada Visa Application Centre.

Your representative must carry the following documents:

  • An original, signed Letter of Authorization
  • The original and photocopies of two (2) pieces of the designated individual’s government issued identification (one which must be photo identification bearing the person’s signature
  • Original Canada Visa Application Centre confirmation receipt
  • Representative will also need to sign the pick-up form before you are given your package(s);

For Authorized Group Representative

  • two (2) pieces of original government issued identification of the group representative (one of which must be photo identification bearing person’s signature
  • original Canada Visa Application Centre confirmation receipt
  • Representative will also need to sign the pick-up form before you are given your package(s);

E-Application

Step 1:

Complete instructions on how to submit a visa application via E-Application can be found on the IRCC website “Apply Online”.

Applicants who are REQUIRED to submit biometrics after successfully submitting an E-Application will receive a notification in a form of a Biometric Instruction Letter (BIL). Upon receipt of the BIL, you will be required to visit the Visa Application Centre to submit biometrics.

Step 2:

If you are REQUIRED to submit biometrics, prior appointment is mandatory for biometric enrolment.

Once an appointment is scheduled, an appointment letter will be generated along with a reference number.

The appointment letter will provide details of the date, time and location of the appointment, along with other relevant information regarding security at the Centre, additional services, etc.

If you are NOT REQUIRED to submit biometrics, please wait for a decision of your application and check your MyCIC account for further instructions.

Step 3:

On the date of your appointment (if applicable) please arrive at the Centre 15 minutes prior to your appointed time.

Please bring your original passport, appointment letter, and Biometric Instruction Letter.

Upon completion of biometric enrolment, you will be provided a receipt confirming the same.

Step 4:

Once a decision has been taken on your visa application, you will be notified via email to submit your passport through a Passport Request Letter. If you are unsure of emails from IRCC getting delivered to you, please check CIC account periodically for updates.

Upon receipt of the Passport Request Letter, please submit your original passport, along with the Passport Request Letter, at the Visa Application Centre.

Mail Your Application

  • Once you receive a notification to enroll biometrics, please ensure you schedule and appear for an appointment within 10 working days at the same VAC where you have mailed your application

Step 5:

Arrange forms and documents according to the IRCC checklist.

Step 6:

Complete and sign the Canada Visa Application Centre Mail-in Application Checklist, make sure you include it along with the application(s). (Please refer to step 1)

Step 7:

Decide how you want your documents to be returned to you.

Document collection or delivery after processing of your application by the Canadian Visa Office:

  • If you have opted for collection of your documents in person or through an authorized representative, you will receive an email notification advising you to collect your documents from the Canada Visa Application Centre.
  • If you have opted for return of documents through courier or through a self-addressed prepaid envelope, the Canada Visa Application Centre shall courier the documents upon receipt from the Canadian Visa Office.

Step 8:

Mail or courier in your completed and signed application forms and checklists, consent form, along with your passport, photographs, Bank payment receipts (Visa Fee, Service Fee and Courier Charges) in a sealed envelope to Canada Visa Application Centre,

  • Bogotá: Carrera 11A No. 93 – 52, Oficina 303, Edificio Torre 93, Bogotá, Colombia.
  • Medellín: Calle 10 No. 32-115 Nivel 1, Local 115 y 116 Vizcaya Centro de Negocios, Medellín, Colombia.

Remember that through our courier service, you can schedule a pick-up service at your address. For more information you can contact the CRSVC.

The unique tracking number to track the progress of your application will be emailed to you once your application has been reviewed for completeness by the Canada Visa Application Centre staff.

You can also opt for the SMS service to track your tracking status in real time. If you want to avail SMS service then please deposit in addition to the service fee and courier return fee in VFS’s bank account.

Step 9:

Track your delivery with the postal or courier company used to submit your application(s) to the Canada Visa Application Centre.

Step 10:

You will receive an email notification containing your application tracking ID from the Canada Visa Application Centre within 2 working days of receipt of your application.

Step 11:

Track the status of your application on our website. Please, keep in mind the processing timing for the visa process  in Colombia.

In case you are requested to bring additional documentation, the Visa Office may communicate with you via tracking status and/ or e-mail. 

Frequently Asked Questions

  • What if my application is incomplete?

You must send a completed application to the Canada Visa Application Centre using the IRCC checklist and other instructions provided in the Mail In procedure.

If your application is found to be incomplete, the Canada Visa Application Centre will send you an email informing you of deficiency (ies) in your application. You must provide all the necessary documents to the Canada Visa Application Centre within 5 working days from the date of receipt of the email.

Or,

You will be required to provide the Canada Visa Application Centre with your written consent to submit the application to the Canadian Visa Office with the deficiencies.

  • What happens to my application if I am unable to provide the required documents as notified by the Canada Visa Application Centre?

    Your application will be returned using the courier charges paid by you.

    Alternatively, you may choose one of the following options:

    • Provide your written consent for the Canada Visa Application Centre to submit the application to the Canadian Visa Office with the deficiencies; or
    • Send a prepaid, self-addressed courier envelope to enable the Canada Visa Application Centre to return your documents; or
    • Collect your documents from the Canada Visa Application Centre in person or through an authorized representative. Please note that in such cases the Canada Visa Application Centre service charges are non-refundable.
  • What will happen to my application if I have not followed the visa fee payment instructions or Canada Visa Application Centre service charge payment instructions?

    The Canada Visa Application Centre will be unable to process your application if the Visa Fee Payment instructions are not followed. The Canada Visa Application Centre will contact you to inform you of the discrepancy and will keep your application on hold until they receive a confirmation that the above instructions have been complied with. To avoid delays, you must ensure that the visa fee payment and Canada Visa Application Centre service charge instructions are followed prior to sending your application(s) to the Canada Visa Application Centre.

  • What can I do if the Canada Visa Application Centre does not offer a courier service to return my documents?

    The Canada Visa Application Centre service charge schedule on the Canada Visa Application Centre website indicates whether a courier service is available or not. If the Canada Visa Application Centre does not offer such a service, you must include a prepaid, self-addressed courier envelope along with your application(s). Please note that if you are sending multiple applications and a single courier envelope, the Canada Visa Application Centre will be able to courier only the documents for processed applications. You will be asked to send additional courier envelope to courier the documents for any remaining application(s) which is still under process. Alternatively, you may choose to pick up the documents from the Canada Visa Application Centre in person or through an authorized representative. Please note our courier service is for local shipments inside Colombia.

  • What should I do if I don’t receive any tracking email ID or information on my application within 5 working days from the receipt of my application(s) at the Canada Visa Application Centre?

    Please send an email to info.cancol@vfshelpline.com along with the following information and the Canada Visa Application Centre will contact you within 2 working days after receiving your email:

    • Your full name
    • Your full address
    • Your telephone number with area code
    • Airway bill number/consignment number and date on which the application was couriered

    Note: You must not include any personal information other than as specified above.

  • How can I track my application?

    Once the Canada Visa Application Centre receives your application and confirms that it is complete and ready for processing by the Canadian Visa Office, your application is registered in the Canada Visa Application Centre System and an email notification is sent to you with your Unique Tracking ID. You can track your application using your Unique Tracking ID;

    • Using the tracking tool on the Canada Visa Application Centre website
    • By contacting the Call Centre
    • In person at the Canada Visa Application Centre
    • By opting for SMS where available.
    • Through Email notification

Submit Passport and Other Document

Important: If a completed and signed TT Services Consent Form is not included with your application or passport submission, we will NOT be able to assist you and your application will be pending until the TT Services Consent Form is completed and submitted. We will attempt to contact you three times over ten business days to obtain the TT Services Consent Form, however if it is not received after these attempts your submission will be returned to you.

If you have received a notification from the Government of Canada requesting for your passport, you have either:

  1. Applied online as E-Application or;
  2. You are a Permanent Resident applicant whose application has been finalized and now requires the passport to be submitted

    Your additional documents and/or passport, along with the request letter issued by the IRCC Office may be submitted through the Canada Visa Application Centre of your choice.

    You go to the same Canada Visa Application Centre where you initially submitted your biometrics AND have not previously submitted additional documents and/or passport to support your current application through that Canada Visa Application Centre.

    Information about the “Package Transmission” service charge is here. Please note that the VFS Consent Form must always be provided when using VAC services.   

    Important Note: If you mail-in your additional documents and/or passport at the Canada Visa Application Centre without the applicable “Package Transmission” service charge and/or the VFS Consent Form, this will be considered an incomplete mail-in package. You will need to submit the missing Package Transmission service charge within 10 working days. Failure to receive the Package Transmission service charges within 10 working days will result in the package being returned to you.

You can submit your passport:

  • In person – Bring your original passport, along with the passport request letter, to the Visa Application Centre (VAC). Submitting your passport at the Visa Application Centre entails a service charge of package transmission fee.
  • Through an authorized representative Send in your original passport, along with the pre-printed passport request letter and a duly filled TT Services Consent Form for the authorized representative, to the Visa Application Centre. Submitting your passport at the Visa Application Centre entails a service charge of package transmission fee.
  • Mail-in Send your passport, along with the passport request letter, to the Visa Application Centre. Submitting your passport at the Visa Application Centre entails a service charge of package transmission fee. This should be paid in the form of a bank deposit. Please note courier service fee for return of passport is separate from package transmission fee.

Important Note:

In the case of a Permanent Residence applicant whose application has been finalized and who has been instructed to submit his/her passport, a photograph as per required specifications, and a completed Appendix B might be requested as well. Please check the instructions sent to you for complete information and guidance. Submitting your passport at the VAC entails a service charge of package transmission fee.

Upon completion of the passport submission process you will be provided a receipt in the form of an Invoice-cum-Receipt (ICR), indicating the total amount paid based on additional services availed at the Visa Application Centre. ICR will likewise contain the application reference number and tracking number which can be used to track the application online

In the case of Mail-in passports, ICR will be inserted in the return decision envelope.

Upon return of the passport from the Canada Visa Office to the Visa Application Centre, applicant may either:

  • Collect the passport in person at the Canada Visa Application Centre. Bring a valid ID and the receipt issued at the Canada Visa Application Centre at the time of submission.
  • Authorize someone on your behalf to collect the passport. To do so please complete the TT Services Consent Form and ensure that the authorized person brings along valid government issued identification for him/herself and the applicant, along with the receipt issued at the Canada Visa Application Centre at the time of submission.

Have your passport delivered to your preferred location. Please check Additional Services offered at the VAC for applicant convenience.
